    How do I download and install FRS Building and Grounds?
    FRS Building and Grounds is a hosted web based application designed for maximum compatibility with all modern web browsers. That means that you aren't required to install anything at your site, on your computers, or on your servers. The program runs directly from our servers and can be accessed by any computer, laptop, netbook, or smartphone with a standard web browser and active Internet connection. There is no requirement for any plugins or other technologies that limit platform like Active-X, client side Java, or Flash.

    What about the physical security of the service?
    FRS web based apps run on servers located in a secure datacenter with 24x7 live closed circuit TV. No outsider is allowed. Only systems and network administration staff have access. Entry to the datacenter is through triple check points and by keycard only.

    How reliable is the service?
    High speed Internet connections from three providers and redundancy including multiple HVAC systems, redundant power (including UPS units and a diesel generator with 5000 gallon reservoir), as well as 24/7 x365 on site availability of system technicians allow for nearly 100% uptime.

    How hard is setup? How long does initial setup take?
    Once your order is processed you will receive a master username/password and customer specific web address that you will use to login and enter your specific sites (site names, addresses, phone number, etc.), maintenance staff account specifics (usernames and passwords), and a general requests password. At that time your setup is ready for use. Initial setup time for a smaller district (1-2 sites with 4-6 maintenance staff) is estimated to take 20-30 minutes.

    How hard is it to use?
    FRS Building and Grounds is the easiest maintenance job request tracking system. Your teaching staff and maintenance staff will almost certainly understand how to use the system almost instantly. Staff will input job requests through a simple web based job request panel and maintenance staff manage their to-do lists through a special portal. Still, it is recommended that local IT Staff in your schools provide a brief training session for staff by showing them how to get to the job request screen and how to enter a job request. (If you are already using FRS Tech Expert, info here, you already know how to use FRS Building and Grounds because they are based off the same source code.)

    Are we required to buy training for our maintenance staff?
    We do not require you to buy training for your maintenance staff or account administrator. Some simple instructions for setting up sites and maintenance staff accounts will be sent when your order is processed. If help is needed the account manager for your schools can contact us via email at support@fastrabbitsoftware.com, but FRS Building and Grounds truly is so easy to use that in most cases your staff will just "get it". A prime goal in the creation of FRS Building and Grounds was to keep it simple, because a simple tool can make life easier... something that is so complex that it is something that requires a new skill set be learned or becomes another job isn't what your teaching staff or maintenance staff needs.

    How are usage fees structured?
    FRS Building and Grounds is a subscription based service. Fees are based on an annual (12 month) cycle. Since it will be general staff that makes most requests into the system we do not charge based upon number of computers, students, sites, or number of maintenance staff. Subscription fees are based upon total number of general staff (all employees minus dedicated maintenance staff). Payment is accepted via credit card (through PayPal or Kagi) or by check.     Other FAQ
  • Does FRS Building and Grounds provide email notifications and updates regarding jobs submitted by staff? A: Yes. Emails are sent when new jobs come into the system, when job requests are assigned to staff, and when jobs are marked as complete.
  • Does FRS Building and Grounds allow for "chain of command" job request approval? For example, we would like the principal at each school to review and approve or deny requests and then have approved requests sent to the maintenance department. A: Yes. FRS Building and Grounds allows for chain of command approval. If a person is in a role where they will review, and approve or deny requests, but not actually complete requests just set their user role to "Superviser".
  • Does FRS Building and Grounds allow monitoring by school administration or school board. A: Yes. If you would like a person to be able to run reports and check statistics, but not actually participate in approving/denying jobs or completing job requests just create an account for them and set their user role as "Administrator".
  • We only have one maintenance person and we want all the jobs to just go to him. Will FRS Building and Grounds work well with an installation as small as ours? A: Yes. Just set your one maintenance person's role to "Head of Building and Grounds" and don't setup a Superviser for your site. When a Superviser is setup for a site all job requests are sent to that account for approval first. If a Superviser is not setup all jobs go directly to the person(s) that have role set as "Head of Building and Grounds".
  • Each of our sites has a primary maintenance person and a couple of helpers. How will FRS Building and Grounds know who gets what job? A: You will assign your main maintenance person at each site to the "Head of Building and Grounds" role and the helpers to the "Building and Grounds Staff" role. The Head of Building and Grounds can complete jobs that come in (either directly from teaching staff or from approval by a Superviser) or assign jobs to those accounts set to the "Building and Grounds Staff" role.
  • I see that there are a number of roles. Do we need to have people assigned to each role? A: No. The only requirement is that you have one "Head of Building and Grounds" for each site.
  • Will we need to load accounts for all staff members? A: No. You only need to setup accounts for those in the roles of Administrator, Superviser, Head of Building and Grounds, and Building and Grounds Staff. General staff, those entering requests into the system, will share a general request password that you make up for entering new requests. They will be able to make their own personal pin for checking back on jobs.
